Cancellation Policy
Last updated: September 20, 2026
This policy sets out how an engagement with LodgingStack LLC ends: the notice required, what happens to pricing and listings that are live at the time, and how the final invoice is calculated. It forms part of our Terms of Service. Where an accepted proposal sets different notice terms for a particular engagement, that proposal governs.
1. Before an engagement starts
The initial audit is free and carries no obligation. You receive the findings whether or not you go on to sign. You may decline to proceed at any point before services commence, at no cost.
2. Initial term
Unless the proposal states otherwise, engagements run for an initial term of three (3) months from the date services commence, then continue month to month.
The initial term exists because the work front-loads: repositioning listings, rebuilding rate strategy and reconfiguring distribution take effect over weeks, not days, and the results only become measurable across a full booking cycle. Cancelling inside that window means paying for work whose benefit has not yet arrived.
2.1 Cancelling during the initial term
You may cancel during the initial term on thirty (30) days' written notice. Fees for the remainder of the initial term, calculated on the trailing monthly average of fees already invoiced, remain payable on the final invoice. Where no full month has yet been invoiced, the amount is calculated on the fee estimate stated in the proposal.
This does not apply where you are cancelling because of a material breach by LodgingStack under section 4.
3. Cancelling after the initial term
After the initial term, either party may terminate for convenience by giving thirty (30) days' written notice by email to or from contact@lodgingstack.com. Notice takes effect on the date it is received. No cancellation fee applies.
During the notice period, services continue as normal unless both parties agree otherwise in writing. Pricing stays managed, listings stay maintained, and reporting continues. We do not wind down a rate strategy early, because a calendar left half-managed performs worse than either a managed or an unmanaged one.
4. Termination for cause
Either party may terminate immediately, without notice period or cancellation fee, if the other:
- commits a material breach of the Terms that is not remedied within fifteen (15) days of written notice describing it; or
- becomes insolvent, enters administration or liquidation, or becomes subject to equivalent proceedings.
LodgingStack may also suspend or terminate immediately where continuing would require us to act unlawfully, where a property loses the licences or registrations needed to let it lawfully, or where undisputed invoices remain unpaid after ten (10) days' written notice of suspension.
5. What happens to live pricing and listings
On the effective date of termination:
- Pricing. We stop making rate changes. Rates already published to your channels stay in place, and your calendar remains priced as at that date; nothing is reset, blanked or reverted. Any dynamic pricing tool operating under our management is handed to you with its current configuration intact, or disconnected at your instruction.
- Listings. All listing content we produced stays live and belongs to you, subject to payment under the Terms. We make no changes to listing content after the effective date.
- Access. We remove our access to your channel accounts, property management system and pricing tools within five (5) business days, and confirm in writing when it is done. You should also revoke access from your side.
- Handover. Within ten (10) business days you receive your rate strategy documentation, the current pricing configuration, and your reporting history, in a commonly used format. There is no charge for a standard handover.
- Bookings in the calendar. Confirmed bookings are unaffected by termination and remain yours to honour and collect.
We do not hold data, listings or accounts as leverage over a disputed invoice.
6. Final invoice
The final invoice is issued within fifteen (15) days of the effective date of termination and is payable within fourteen (14) days. It covers:
- fees accrued up to and including the effective date, under whichever fee model applies;
- fees on bookings already confirmed before the effective date for stays commencing within thirty (30) days after it;
- any early-termination amount due under section 2.1;
- less any credits for bookings cancelled after being invoiced, where you received no revenue for them.
No fee is charged on bookings confirmed after the effective date. On an upside-share arrangement, the final period is measured against the pro-rated baseline for that period; if performance does not exceed it, no performance fee is payable for that period.
7. Pausing instead of cancelling
Where a property is coming out of service temporarily, whether a renovation, a seasonal closure or a sale in progress, you may request a pause rather than a cancellation. Pauses are agreed in writing, last up to three (3) months, and carry no fee while no bookings are being taken. Listings and pricing configuration are preserved so that the engagement can resume without rebuilding. Requests are considered in good faith but are not automatic.
8. Rescheduling and missed calls
Introductory and review calls can be rescheduled at no cost. We ask for as much notice as you can give so the slot can be reused.
9. Changes to this policy
We may update this policy. Changes affecting an active engagement take effect thirty (30) days after written notice. The date at the top always reflects the current version.
